As a Receptionist, you will be the first point of contact for our valued customers, ensuring they receive exceptional service and assistance.
Key Responsibilities
  1. Operate multiline telephone system Answer, screen, and forward calls, providing accurate information, taking detailed messages, and efficiently scheduling appointments.
  2. Handle payments Receive payments ensuring accuracy and maintaining financial records.
  3. Provide administrative support Perform various administrative tasks such as proofreading, transcribing handwritten information, and utilizing computer systems to manage pay records, invoices, balance sheets, and other documents.
  4. Create a welcoming environment Greet individuals entering our establishment, determine the nature of their visit, and direct or escort them to their desired destinations.
  5. Customer satisfaction Listen attentively and resolve complaints from customers or the public, ensuring their concerns are addressed promptly and professionally.
  6. Maintain records File and organize records to ensure easy accessibility and efficient retrieval of information.
  7. Communication and coordination Transmit information or documents to customers using computer systems, mail, or text messaging, ensuring prompt and accurate delivery.
  8. Appointment scheduling Manage and update appointment calendars, ensuring smooth scheduling and coordination.
  9. Data analysis Analyze data to provide answers to questions from customers or the public, ensuring accurate and helpful information is provided.
  10. Information provision Provide detailed information about our agency, including the range of services we offer.
  11. Mail and message handling Collect, sort, distribute, and prepare mail, messages, or courier deliveries, ensuring efficient communication flow.
Requirements
  • Strong communication and interpersonal skills.
  • Excellent organizational abilities and attention to detail.
  • Proficiency in operating telephone systems, computers, and office equipment.
  • Ability to handle multiple tasks simultaneously in a fast-paced environment.
  • Problem-solving and conflict resolution skills.
  • Prior experience in a customer service or administrative role is preferred.
